Organising your Projects in the Coreo Admin Area

As you use Coreo it is likely that you will create many surveys. Without proper organisation navigating these projects can become tricky. Thankfully, we have several options for keeping your projects organised, making it easy for you to find exactly what you’re looking for, when you need it.

The Projects Home Page

The Projects page lists all of your organisation’s projects and has several options for managing and filtering your list.

Creating a New Project

You have two options when creating a new project, you can either create a project from scratch or use an existing template as a base.

New (blank) Project

To create a new blank project:

  • Click the ‘+ New Project’ button.

A window will open prompting you to fill in a name for your project, a description and to assign members to your project . In order to create the project you must give it a name – the description is optional.

You can also add additional members in your organisation to the project, in order to create a new project you will need to assign at least one Admin member to it. To assign people to the project:

  • Click the Checkbox next to the name of the person you wish to assign.
  • Use the ‘Project Role’ dropdown menu to assign the member a role

  • Click the blue ‘Create Project’ button once you have selected all your members and assigned them their roles

Your new project is now completed and will be visible in your list of projects.

New Project from Template

To use one of our existing survey templates as a base for your project:

  •  Click the blue ‘Project From Template’ button.

You will now be presented with a gallery of our survey templates. Once you have chosen from the list:

  • Click the blue ‘Use Template’ button.

Once again you will be prompted to name your project, provide a description and add members. As with creating a blank project, the description is optional.

  • When ready to proceed click the blue ‘Create Project’ button.

Project Folders

Project folders enable you to group different projects together. For example if you have several separate surveys all in the same area you can place them together in a single folder. In addition, you can nest folders within other folders for greater granularity.

To create a new folder:

  • Click the white ‘New Folder’ button.

A window will open asking you to name your folder.

  • Once you’ve given it a suitable name click the blue ‘Create’ button.

Your new folder will now be visible in the project list and projects can now be moved into it.

Interacting with Items on the Projects Home Page

There are several ways you can organise and manage your project list from the Projects Home page.

Project Options

To reveal the available options:

  •  Hover your mouse over the project or folder you wish to interact with.

You will now see a series of icons to the right of your chosen project or folder.

Favourite

The star icon represents favouriting your project or folder.

To favourite:

  • Click the ‘Star’ icon

You will now see a grey star next to your project or folder name showing that it has been favourited. 

You can filter your list so that only favourites are shown. To do so:

  • Click the ‘Favourites’ button in the sidebar.

To return to the default mode simple click the ‘Favourites’ button again to turn off the filter.

Move

The page and arrow icon will move a project or folder into, or out of, another folder.

To Move:

  •  Click the ‘Move’ icon

A window will open showing your project list, including your project folders. These will stand out from your other projects which are un-selectable in this window. In the upper right, above the list your current project position will be highlighted. This tells you whether you are within a specific folder or on the project home page.

You can search for a specific folder using the search bar at the top of the window.

You can also create a new folder within your current project position, which will then be selectable from your list. To do so

  • Click the ‘New Folder’ button.

To move your project:

  • Select the folder you wish to move your project into

The ‘Move Project’ button will become selectable and show your selected folder.

  • Click the ‘Move Project into…’ button

Your project will now appear inside your selected folder.

Clone

The layered pages icon will clone a project (you cannot clone folders).

Note: Cloning a project will not copy records, only the project structure (Forms, Collections etc).

To clone a project:

  • Click the ‘Clone’ icon

The clone project window will appear. This window is identical to the ‘create new project window and functions in the same way.

  • Complete the steps in the same way as in the create new project process

Your cloned project will now appear in the project list.

Note: You will be unable to clone UKHab projects due to their complexity.

More Options

The 3 dots icon will open up a menu of additional options, including those listed earlier.

Depending on whether you are selecting a folder or a project the available options will be different.

Additional Options for both projects and folders:

  • Open – Clicking open will open the project or folder you have selected.

Additional Options for Folders:

  • Delete – This will delete your folder, you will be asked for confirmation before doing so. If there are projects within the folder they will revert to displaying in the project homepage.

Additional Options for projects:

  • Archive – Archives the project removing it from the organisation pages. You will be asked for confirmation before doing so. Archived projects can be restored by project admins.
  • Settings – This will take you directly to your project’s settings page.
  • Members – This will take you directly to your project’s members page.

Additional Option for Folders

  • Rename Folder – This will provide you with a text box for renaming your selected folder.

Multiple Selection

You can also select multiple projects or folders at once. By doing so you can perform actions such as moving your selected projects or folders together, or deleting all your selected projects or folders.

To select multiple items:

  • Click the empty tick box when hovering over your chosen items

Your selected items will be highlighted blue, in addition a list of options will appear below the header of the page.

  • Simply select one of the options to apply it to the selected items. 
  • To deselect an item click the checkbox again.
